The future: Harnessing AI accounting

AI is revolutionising accounting. Find out how you can harness AI accounting technologies to work smarter and transform your practice.

Accounting dates back to thousands of years ago, and has come a very long way since clay tablets and abacuses. Accounting has evolved a lot over the years, but the current period is perhaps the most exciting.

AI Accounting is revolutionising the accounting industry. It automates manual processes, improves accuracy and speeds up workflows. AI-driven analytics will give you deeper insights into your financial health and provide the data needed to support strategic decisions.

The accounting industry is being affected by this change at a rapid pace. Sage surveyed 1,000 UK accountants and bookkeepers to understand the impact of AI on the future. The report provides insight into the risks and benefits of AI, as well as the regulations that need to be in place.

The report “Going for growth: Creating an AI first Future in Accounting”, created in partnership with ACCA, explores the current and future adoption of AI, its current and possible impacts on the day-to-day workplace, business performance and wellbeing, and accounting as a profession.

In this article, we will examine some of the most important findings of this report. We will also explore the impact and evolution of AI-powered Accounting. One particular finding is noteworthy: If every practice adopted AI in the same way as the industry leaders, PS2 billion would be added to the GDP and an additional 19,900 new jobs could be created.

“It’s really exciting to see that AI adoption is gathering pace amongst UK practices and that it is not just large firms reaping the benefits,” said Alistair Brisbourne, head of technology research at ACCA.

“As the report attests, professional accountants have a firm grounding in the risks associated with AI, data use considerations, and potential efficiency and productivity benefits. As an industry, it is evident that the accounting profession is well placed to utilise these skills to create clarity for businesses and support the development of appropriate frameworks.”

Accounting is being transformed by AI

Accounting practices from yesterday are likely to be phased out as accountants integrate and AI in their organisations. However, there are certain aspects that will be missed. Legacy accounting was based on manual data entry and ledger maintenance. It also relied heavily on human error. This repetitive manual work was not ideal. But the main downside to accounting’s old ways is that it limits the time available for strategic financial planning.

AI is about to change that. In the next five years, artificial intelligence will be used in more than a quarter of accounting and bookkeeping.

How is AI being used today in accounting? It’s important to understand that AI is a term used for a variety of artificial intelligence-powered functionality and use cases. The umbrella will likely grow in size as technology evolves and new applications are found.

The impact of AI technology is being felt in every industry. The impact of AI on accounting is evident in many different ways.

  • Machine Learning (ML), which automates the categorisation of data, predicts financial trends and detects anomalies to prevent fraud by learning and spotting patterns in historical data
  • Data analytics for real-time insights and financial forecasts. Smart, contextual information is delivered to support more strategic decisions.
  • Automate repetitive tasks such as data entry, invoice processing and reconciliation to improve efficiency and accuracy
  • ChatGPT, and other digital assistants that utilise NLP, can quickly surface information in large data sets and generate text by using simple conversational prompts.
  • Optical Character Recognition is a technology that converts scanned images to editable and searchable texts, allowing for faster data extraction and analysis.

AI and the Accounting Industry

AI provides accountants with a variety of solutions that allow them to work more efficiently, and not harder. Here are five key ways AI can improve your work.

1.AI can automate repetitive and time-consuming tasks such as data entry, invoice processing, transaction categorisation, etc. The AI can automate repetitive tasks that used to take hours or even days.

2.Simplify data analysis for faster forecasts–AI-powered tools can analyse massive volumes of financial data far more quickly, working around the clock. It speeds up the analysis and reporting process, as well as helping you to spot trends, anomalies and insights not visible using traditional methods. AI can help you make accurate financial forecasts instantly, such as cashflow projections, by analysing market trends and historical data. It saves time, allows you to make better predictions and helps you plan the future.

3.AI is excellent at detecting patterns. This is good news for accountants, who can spend less time manually searching for anomalies which might indicate fraud.

4.With tools such as OCR, you’ll be able to extract data faster. You can automate the extraction of data and processing it from sources such as receipts, bank statements, and invoices. There’s no need to type each line by hand.

5.AI can also help to streamline communication, allowing for a smoother and faster exchange of information with clients. Over half of accountants use chatbots for client communication, according to the report. It helps them to find what they are looking for faster by performing simple tasks such as answering common questions, setting up appointments, and gathering information.

Bottom line: With AI taking care of routine tasks, your focus can be on more valuable activities, such as strategic planning and advisory, which will boost your productivity and help you provide better service to your clients.

How to overcome the barriers to AI accounting

AI is now very easily accessible and gives you a lot of options to integrate it into your accounting process. AI can be accessed through generative AI tools that are publicly available, or through industry-specific, purpose-built solutions. In many cases, you can also access AI through existing accounting software solutions.

AI is not an exception. AI implementation comes with its own set of challenges. Here are some common obstacles that you may encounter when adopting AI into your accounting practice.

There’s an old saying that goes, “Garbage in means garbage out.” AI requires good data in order to learn, forecast and uncover useful insights. Poor-quality data will hinder the performance of your AI solution.

Initial investment is another barrier to adoption. Many AI services, however, are cloud-native, and can be used on a pay as you go basis. This helps to reduce the initial investment. To manage costs, you can implement AI gradually and focus on the areas that have the greatest impact. You may be able upgrade your existing products or services to include AI, saving you the cost of a new solution.

AI skills gap: AI technology is still relatively new, so it makes sense that accountants would be worried about the lack of AI knowledge. Nearly two-thirds of accountants and booksellers (63%) are concerned that skill gaps may limit their ability to use AI.

It’s good to know that most AI solutions are easy to use, and especially those designed for industries like accounting. It’s not necessary to be a data-scientist to integrate AI into your accounting process. However, some targeted training will help you bridge any knowledge gaps, and ensure that your AI solution is working to its full potential.

AI is an extremely powerful tool that must be used with ethics. Accounting firms deal with a great deal of sensitive information and personal data about their clients, and it is important that any AI systems they implement are compliant with the appropriate privacy and data regulations. Regular audits and consulting with legal experts will help you ensure that you are fully complying with compliance standards.

Change management: Humans are resistant to change even when it can improve our lives. AI adoption can be seriously hindered by this resistance to learning new tools and modifying processes. You can reduce the amount of resistance by implementing effective change management. Include all stakeholders in your AI project from the beginning, ensuring that you fully communicate the benefits they will receive and provide them with the necessary training to ease the transition.

AI Accounting Software: Harnessing AI

AI has seen a number of significant developments since its arrival. Software developers have been working hard to integrate AI into their products, and maximize their customers’ productivity. Even in niche industries you can easily harness AI through software built for your specific needs.

There are many AI software solutions for accountants, which combine multiple AI technologies and help you to save time.

AI accounting software automates routine tasks such as data entry, billing, and reconciliation to save time and increase accuracy. These platforms provide real-time data analysis and reporting, which can help you make better decisions and forecasts.

What is next for AI in accounting?

The future of accounting will be shaped by this rapidly evolving technology for many years to come. It will improve automation, allow for more sophisticated data analyses, and improve prediction capabilities.

AI accounting software will be able to learn and improve their abilities to perform increasingly complex tasks – from financial modelling to support for strategic planning. AI can also generate better financial insights by integrating and analysing diverse data sources.

AI accounting is a rapidly evolving field. No one knows where it will lead us, but one thing is for sure: those who implement AI tools earlier will reap the rewards.

The report states that accounting firms who consistently use AI tools can expect to grow three times faster over the next three years. They will also increase their revenue by 18 points compared to those without AI plans. AI can also have a positive impact on your wellbeing. Over half of the practices that use AI report improvements, such as reduced stress from work and increased job satisfaction.
